Position: Member, CHFP Certification Committee

Time Commitment: about 4 hours per month

RESPONSIBILITIES AND DUTIES:

  1. Work to grow the number of chapter members with a CHFP certification and retain currently certified members.
  2. Help establish an annual plan, focused on recruiting and promotion of the CHFP certification, providing continuing education opportunities and awareness, and adding value to the CHFP certification through various events.
  3. Provide support in the form of logistical assistance and outreach for the annual Fall CHFP Practicum and Spring CHFP Event.
  4. Plan events and education sessions.
  5. Outreach to and recruitment of interested members.
  6. Follow up with members whose certifications are up for renewal or previously lapsed.
  7. Tracking and monitoring of key metrics related to Certification.
  8. Attendance and participation in weekly coordination calls as scheduled.
  9. Coordination with other committees such as Membership, Programming, and Newsletter as well as Chapter leadership.

Position: Member, Partnerships Committee

Time Commitment: about 4-6 hours per month

RESPONSIBILITIES AND DUTIES:

  • Create registration for events – include description, create tickets, pull/sort registration reports, assist attendees
  • Create and send email blasts promoting events, event logistics, announcements
  • Create registration for sponsorship credit card payments and assist with processing
  • Manage marketing and education gmail accounts
  • Answer incoming emails received from the website and email blasts, route to correct committee
  • Work with other team members and committees for specific events
  • Update chapter social media accounts

RESPONSIBILITIES AND DUTIES:

The Committee will work with the First Illinois HFMA Board and Executive Committee to:

  • Develop an annual action plan and setting priorities
  • Assist the Board and other chapter committees in incorporating diversity, equity and inclusion into all events
  • Participate in the design and implementation of outreach programs to underserved healthcare finance professionals
  • Monitor the progress and process of diversity, equity and inclusion work 

Position: Lead, Education Partnerships (a member of the Program Committee)

Time Commitment: about 4 hours per month

RESPONSIBILITIES AND DUTIES:

  • Have a good understanding of the education partnership types, requirements, and benefits as defined by HFMA.
  • In close coordination with the Program Committee Chair, help determine the partnerships desired to support the chapter’s annual education goals and tactics.  
  • Identify and engage potential education partners to determine interest, value, and tactics for potential partnerships.  Serve as the FIHFMA point of contact for potential education partners. 
  • Attend Program Committee calls and meetings and provide partnership updates.
  • Ensure potential partnerships are reviewed by the Program Committee, and incorporated into the program calendar as appropriate.
  • Facilitate tactics to ensure partnerships are implemented as defined, which depending on the nature and scale of the partnership may include:
    • Completion of partnership agreements as defined/required by HFMA
    • Coordination of promotions and marketing of partnerships
    • Collection of data required to support FIHFMA education reporting 

Position: Member, Fall Summit Committee

Time Commitment: About 4 hours per month plus event attendance

The Fall Summit Committee designs and plans the chapter’s annual two-day Fall Summit.   In conjunction with a review of the annual membership satisfaction survey, the committee identifies topic areas and reviews presentation proposals.  Committee members serve as subject matter experts and primary liaisons between the chapter, speakers, sponsors, and attendees from development of a program brochure and marketing copy to final session evaluations.  The committee works closely with sponsorship, early careerists,  membership, and other committees to ensure a well-rounded program.

RESPONSIBILITIES AND DUTIES:

  • Help design and plan the overall annual fall summit with input into potential sessions and design.
  • Outreach to various potential speakers.
  • Become point of contact for a portion of the confirmed speakers, including gathering and reviewing backgrounds and presentations.
  • Onsite assistance during the event which may include introductions of speakers and logistical help.
  • Attendance and participation in coordination calls as scheduled.
  • After event, review results of evaluations and add suggestions for improvement.

Position: Women’s Golf Outing

Time Commitment: average 10 hours a month for the three months leading up to the event, and 25 hours the week prior to the event

The annual Women’s Golf Outing is an event designed for female healthcare professionals to network and enjoy a game of golf.  It is usually held in August of each year.

RESPONSIBILITIES AND DUTIES:

  • Secure golf outing venue and date 
  • Save-the-date email blast to FIHFMA member, May
  • Secure education speaker and confirm topic, May. Periodic touch base with the speaker leading up to the event.
  • Planning of the venue, coffee service, lunch, beverage, and the social hour, June
  • Outreach to chapter partners to confirm attendance, preferred golf pairings, and event sponsorships such as giveaways, June and July
  • Outreach to anchor female providers, previous providers attendees to confirm attendance, July and August
  • Purchase giveaways and golf prizes, and design prize games, July and August
  • Confirm team pairings. Communication with golf club pros regarding number of players vs. number of novices registered for golf lessons, to ensure adequate staffing of golf pros and club staff for the event, and locker room assignment, August
  • Confirm number of attendees with club catering to ensure appropriate setup and staffing for coffee service, lunch and social hours, August
  • Printing of sponsorship signages, mulligan cards, etc., August
  • Lead various day of event activities
  • Post event, manage the survey results, and summarization of the event for the HFMA newsletter.
  • Maintain relationships with other HFMA Members and committees. 

Position: Member, Managed Care Committee

Time Commitment: about 4 hours per month

The Managed Care Committee is responsible to develop and host an annual 1st ILHFMA managed care conference, usually held in February of each year.   Committee members are the primary liaisons between HFMA, the speakers, the sponsors and the attendees for the event. Managed Care Committee members will advise on various managed care topics and updates to be made available to Members. 

RESPONSIBILITIES AND DUTIES:

  • Participate in robust discussions surrounding new managed care news in the market.
  • Help establish a list of valued topics to be considered for the conference. 
  • Recommend speakers and panelists that have the most influence and experience with each topic.  
  • Identify and retain various sponsors that will cover the cost of the venue and bring additional revenue to HFMA.  
  • Contribute to the planning of the venue, food, beverage, and the social hour.
  • Participate in the “save the date” and invitation process for the event.  
  • Provide other logistical assistance and outreach to interested members as needed.
  • Participate at the event; prepare engagement questions for each speaker and each topic.
  • Be prepared to manage the survey results and/or summarization of the event for the HFMA newsletter.
  • Maintain relationships with other HFMA Members and committees. 

Position: Member, Membership Committee

Time Commitment: about 3 hours per month

The Membership Committee works to retain and grow its membership base.  To accomplish this goal, the Committee establishes an annual plan, focused on retention strategies, recruiting and the promotion of membership value

RESPONSIBILITIES AND DUTIES:

  • Key activities include planning, membership renewal reach out, new member welcoming/ onboarding, outreach to members, prospective members and business leaders at educational events, social events and non-chapter settings.
  • Each Committee Member is assigned as a Liaison to newer members in the chapter to understand what their goals are from membership, and guide them as to how best they could be achieved Recommend speakers and panelists that have the most influence and experience with each topic.  
  • This Committee must work closely with the Programming Committee, Social Committee and Chapter leaders to help facilitate membership value and chapter goals.

Position: Member, Partnerships Committee

Time Commitment: about 4-6 hours per month

  • Work to grow the number of chapter Partners and retain current Partners.
  • Help establish an annual plan, direction, and budget for marketing and engaging local chapter Partners.
  • Contact previous Partners to solicit feedback and secure future Partnership funding.
  • Coordinate planning and Partner engagement for events.
  • Outreach to and recruitment of interested members.
  • Follow up with Partners to verify perceived and received value of benefits.
  • Attend and participate in bi-weekly coordination calls as scheduled.
  • Coordinate with other committees such as Membership, Programming, and Newsletter as well as Chapter leadership.

Position: Member, Program Committee

Time Commitment: Varies, averages to ~5 hours per month

 RESPONSIBILITIES AND DUTIES:

  • Actively participate in planning and coordinating the development, delivery and evaluation of education events.  
  • Volunteer to co-chair a Programming Sub-Committee (outlined below).  Each committee typically has 1-3 co-chairs, who are responsible for the following activities. 
    • Pre-Event Preparation: Setting event agenda, identifying speakers, assisting speakers in development of educational content, venue selection, planning event activities and meals, event promotion, and event budgeting.
    • Day of Event Execution: Room and A/V setup, thanking speakers, providing speaker gifts, event kick-off, and event wrap-up.
    • Post-Event Follow-up: Send evaluations, review results, notate ideas for future improvement.
  • Assist in developing programming content based on chapter member survey responses and by providing ideas for continued improvement.
  • Attend monthly Program Committee meetings (60-minute duration).
  • Outreach to and recruitment of interested programming members and event attendees.
  • Tracking and monitoring of key metrics related to educational programs.
  • Coordination with other committees such as Membership, Certification, Partnership, and Newsletter as well as Chapter leadership.

Position: Member, Revenue Cycle 101 Committee

Time Commitment: Varies. More time needed as event draws closer

The Revenue Cycle 101 committee is responsible for providing education regarding revenue cycle operations for the chapter and securing speakers for our annual event.  This was a successful event for our chapter in 2018 after being dormant for several years.  Goal is to make this an annual event, although the format is still up for debate and may be revised.

 RESPONSIBILITIES AND DUTIES:

  • Contact potential speakers for the event from local health systems.  Speakers would be from across the continuum (patient access, coding/charge capture/denials management/self pay follow up)
  • Help secure a venue for the event.
  • Work with potential speakers on curriculum and format of presentation.
  • Help establish a list of topics/questions and act as a host the day of the event
  • Organize logistics the day of and leading up to the event
  • Validate the curriculum adheres to standards so attendees can earn continuing education credits
  • Work with other team members and committees involved in the event.  Including membership, vendors, Eventbright for ticketing and attendance, etc.

Position: Member, Scholarship Committee

Time Commitment: about 24 hours spread throughout the year

 RESPONSIBILITIES AND DUTIES:

  • Evaluate, update and post the Scholarship Criterion and Application on the chapter website 
  • Market and solicit potential applicants from the membership, via the website, email blasts, chapter publications, events and word of mouth
  • Receive, audit and assemble the applications for consideration.
  • Review and score all applications received to facilitate the selection of scholarship candidates, based upon their Academic Performance, Extra-Curricular, Community Service, Reference Letters and Personal Essay.
  • Meet to select candidates to receive a scholarship from the Chapter.
  • Organize and conduct interviews with the candidates identified, with the primary purpose being to slot the recipients for the various scholarship levels offered by the chapter. 
  • Inform the candidates of their scholarship award and invite them and their parents to the Installation Dinner where they will be recognized.=
  • Notify applicants that were not selected of the results and encourage them to consider applying for the scholarship in the future.
  • Plan, organized and present the awards to the scholarship recipients including a check made payable to the University they will be attending, at the Installation Dinner.
  • Conduct a review of the previous year’s process and evaluate any changes or enhancements to the Scholarship Program.
